Application checklist

  • PassportID page + any pages with current Japan entry stamp.
  • Residence card (在留カード)Both sides. Must be valid for at least the contract term — screening may fail if it expires mid-lease.
  • Proof of incomeLast 3 months of payslips, or an employment contract stating monthly salary. New hires can use an offer letter.
  • Proof of employmentCertificate of employment (在職証明書) from HR, or your company business card as a backup.
  • Emergency contact in JapanName, phone, and relationship. Not a guarantor — just an emergency contact. A colleague is fine.
  • Guarantor or guarantor companyMost foreign renters use a guarantor company (保証会社). A personal guarantor is rarely required if you use one.
  • Japanese bank accountFor the rent auto-debit. A new account can sometimes be opened after signing — we'll advise per case.
  • Personal seal (印鑑)Not always mandatory — signature is increasingly accepted — but having one speeds things up.

What is “key money” and is it refundable?

Key money (礼金) is a one-off gift to the landlord, traditionally 1–2 months of rent, and is not refundable. It is slowly disappearing in competitive rental markets but still common. Do not confuse it with the deposit (敷金), which is refundable minus cleaning and damages.

Can I rent without a Japanese guarantor?

Yes — most landlords now accept a paid guarantor company (保証会社) in place of a personal guarantor. The fee is typically 50–100% of one month’s rent upfront and an annual renewal fee.

How much does the total move-in cost?

Budget 4–6 months of rent upfront: first month’s rent, deposit (1–2 months), key money (0–2 months), brokerage (1 month), guarantor fee, fire insurance, and key exchange. Always ask for an itemised quote before signing.
